Build a coordinator roster that survives a missed call

Separate membership from duty

A person who joins a medical association has not automatically agreed to remain on emergency duty. Create a roster only after the institution or committee confirms the role, relevant hours and contact permission. A directory number, a fictional demonstration record or an unanswered invitation should not be treated as operational coverage. Keep private response numbers within authorised access.

Make the handover explicit

For each coverage period, identify the primary coordinator, backup and route for escalation if neither responds. Record who accepted the duty and when a substitution was confirmed. A proposed name is different from an accepted assignment. When someone changes their number or availability, update the working roster rather than relying on a correction buried in a chat group.

Check the gaps openly

Review uncovered periods before describing the service as continuously available. Discuss what members should do during a gap and make that guidance visible. Run an announced exercise with consenting participants to check contact accuracy and handover. A successful individual call does not prove that a whole group response is ready.

If the primary coordinator becomes unavailable halfway through the shift, who accepts responsibility and how is that change communicated?
